Overview

The Income Lab AI Scribe records, analyzes, and summarizes your meetings so you can focus on clients first. Then, after the meeting, it will create a household in Income Lab based on the data it gathered from your conversation with the client.

Availability:

Public Zoom Marketplace app (English). Installation is available to Income Lab users who sign in to Income Lab before installing.

Then click launch Zoom. If this is your

there, I'll see the AIC Scribe open up

Adding the App

Prerequisites

  • Zoom Desktop/Web/Mobile client (latest version recommended).

Installation 

  1. Open the Marketplace deep link:
    Open Income Lab Meeting Assistant in Zoom Marketplace
  2. You’ll be redirected to log in to Income Lab
  3. Sign in or create an account
  4. Complete any on-screen checks and proceed by clicking Install
    1. You’ll be deeplinked into the Zoom app
      1. If you’re in a meeting, the app opens, and the Income Lab Recorder joins
      2. If you’re not in a meeting, you’ll see a welcome screen with the next steps

Option B — From the Income Lab dashboard:

  1. Sign in to Income Lab
  2. Go to Firm → Add household
  3. Click AI Scribe and follow the prompts to connect to Zoom

Usage

What the app can do

Start capture (in-meeting)

  • Opening the app while you’re in a Zoom meeting triggers the Income Lab Recorder to join and start recording and analyzing automatically.

Pause/Resume anytime

  • Use the in-app Pause to temporarily stop capture if sensitive topics come up.

Stop capture

  • End recording at any time from the in-app controls.

Receive summaries by email

  • After the meeting is processed, you’ll receive a concise summary in your inbox. (UI for browsing past meetings is not yet available; only email summaries are available at this time.)

Typical workflows

Quick start (ad-hoc meetings)

  1. Start a Zoom meeting.
  2. Open the Income Lab Meeting Assistant from the Zoom Apps panel or your deeplink.
    1. The bot joins, and the capture begins → Pause or Stop as needed.
  3. Watch for the summary email after processing.
  4. For privacy control during a call, click Pause before discussing anything you don’t want captured; click Resume when ready to resume the recording.

 


Removing (Uninstalling) the App

From Zoom

  1. Log in to Zoom and open the Zoom App Marketplace
  2. Go to Manage → Added Apps
  3. Find Income Lab Meeting Assistant
  4. Click Remove and confirm

What happens when you remove the app

Immediate impact: You won’t be able to open or use the Zoom app

Income Lab account: Unaffected, so you can still use Income Lab as usual (outside of the Zoom app features)

Tokens & sessions: Zoom revokes tokens; Income Lab discards cached sessions

Logs & installation data: Purged on our side. We remove your Zoom-app user record; no installation traces remain

Meeting data: Retained for 30 days after deauthorization, then automatically deleted

Early deletion: You may request earlier deletion at support@incomelaboratory.com

Re-installing later: Treated as a fresh start (previous app-level data will not re-link)

 

We’ve implemented Zoom’s deauthorization webhook to ensure token revocation and cleanup occur promptly.

 


Troubleshooting

Can’t install (admin approval required)

Symptom: “This app needs admin approval.”

Cause: Your Zoom organization restricts Marketplace installs.

Fix: Contact your Zoom admin to approve Income Lab Meeting Assistant for your account.

OAuth fails / invalid_redirect / “Something went wrong”

Likely causes: Cookies disabled/cleared, switching browsers mid-flow, altered redirect URLs, tracker-blocking extensions.

Fix: Enable cookies for Income Lab and Zoom. Retry the install from the original link without switching tabs/browsers. If it repeats, contact support@incomelaboratory.com with a screenshot of the error.

Bot didn’t join / “Recording missing”

Likely causes: Temporary capacity limits with our meeting bots or transient service downtime, the Enable Waiting Room setting in Zoom prevented the bot from joining, or Record to Computer Files is disabled. See below for how to fix these issues. 

 

Enable waiting room should be disabled; otherwise, the recording bot might not be able to join the call, which might cause the AI Scribe to not work/start. To disable this setting, follow the steps below.

1. Go to https://zoom.us/

2. Click Sign in on the top right corner and log in

3. Click the profile picture in the top right corner

4. Click Settings

5. Go to General

6. Toggle the Enable waiting room setting to OFF

 

Record to computer files should be enabled to allow the bot to record and transcribe the meeting to ensure that the AI Scribe can work. To enable this setting, follow the steps below.

1. Go to https://zoom.us/

2. Click Sign in on the top right corner and log in

3. Click the profile picture in the top right corner

4. Click Settings

5. Go to Recording

6. Toggle the Record to computer files setting to ON

 

No summary received

Likely causes: Capture was paused or stopped early; email landed in spam; meeting ended before bot fully joined.

Fix: Confirm you saw the bot in the participant list, ensure it wasn’t paused, and check your spam folder. If needed, contact support.

Accessing recordings

Current behavior: You cannot access raw audio/video. You’ll receive email summaries only (UI access coming later).

Rate limits / throttling

Symptoms: Slow app open/join, retries, or “try again later.”

What to do: Wait 1–2 minutes and try reopening the app. For repeated issues, share timestamps with support so we can investigate any upstream throttling.


FAQs

Do I need to grant access every time?

No. Install once and then open the app anytime during a meeting.

What personal data do you store?

Only your Income Lab user ID, Zoom user ID, and tokens. We don’t store your name.

How do I unsubscribe from summary emails?

At the moment, you can’t opt out of Summary emails, as that is core functionality of the application. You can’t see past meeting results on the Income Lab platform at the moment.

Do I need to resend/trigger an activation email?

No. Not required for this app.

Which meetings are captured by default?

Ad-hoc: when you open the app in a meeting, the bot joins and the capture starts. Otherwise, nothing is captured.

What if I disable Zoom Cloud Recording?

Nothing changes. We don’t rely on Zoom Cloud Recordings. The app does not consume Zoom Cloud Recordings; it only uses the bot’s live capture when active.

Can I restrict which users in my org can use the app?

TBD. (If your Zoom admin controls Marketplace installs, they can gate installation at the org level.)

We use encryption in transit and at rest, and modern security practices. (Subprocessors include AWS and our meeting-bot provider.) See our policies below.
